We Dig These Gems! New Genealogy Records Online

Here’s our weekly roundup of new genealogy records online. Do you see anything you should be searching for your ancestors?

Featured: U.S. – SOUTH DAKOTA CENSUS. The 1945 South Dakota state census collection at Ancestry.com has been updated. According to a FamilySearch.org collection description (where it can also be searched for free), “This 1945 South Dakota State Census is an every-name list of the state’s inhabitants as of 1945. The records are handwritten on printed cards and are arranged alphabetically by surname. People enumerated in the census are recorded individually; the census records do not show individuals in family groups.” It’s wonderful to see census records access pushing past that 1940 blackout!

AUSTRALIA VITAL RECORDS. Findmypast.com has updated collections of birth, marriage and death records for Western Australia. Transcripts for all three record sets appear to be taken from original civil registrations, which began in 1841.

SPAIN MUNICIPAL RECORDS. A free collection of Cádiz municipal records (1784-1956) has been updated with over 155,000 new browsable images at FamilySearch.org. The full collection (some of which is indexed) includes “civil registration records, censuses, military records, and other miscellaneous records microfilmed and digitized at municipal archives in the province of Cádiz, Spain.”

U.S. – LOUISIANA WILLS/PROBATE. Ancestry.com’s collection of wills and estate records for Louisiana (1756-1984) has been updated. Indexed images represent nearly 3/4 of Louisiana parishes.

U.S. – NEW YORK CHURCH. Findmypast.com has updated its collection of New York State Religious Records, 1716-1914. Find indexed images of baptisms, marriages and deaths from dozens of churches from various denominations. You can even search by denomination, church name, county or full text.

U.S. – NORTH CAROLINA MARRIAGES. There’s a new index with over 53,000 entries from North Carolina civil marriage bonds and certificates (1763-1868) at FamilySearch.org. Click here to see a description of the index’s coverage.

U.S. – NORTH DAKOTA FUNERALS. An index to records from North Dakota funeral homes hosted by the Red River Genealogical Society is newly indexed at Ancestry.com and can be searched for free. (Click here to search the index on the host website.)

I’ve been scanning family photos bit by bit as I was passed down albums from my great-grandparent’s and have been going through and labeling them with my grandparents, and decided to get some copies printed so I could enjoy them while keeping the originals safe in archival photo sleeves.”

Answers to Your Genealogy Paper Organization Questions

From Linda:
​Q: My question from last week is I wonder why you start with death of each ancestor in your notebooks.
A: Because we do genealogy backwards. Remember, our goal is NOT to have a piece of paper for every event in a person’s life. Our goal is to have a safe place to keep the most precious paper that we want to archive in person’s life. Everything else is digital on our computer and backed up.

Q: So if you start with a man’s birth, does he not ever show up in his father’s book?
A: As a reminder, the father would be a new tab, not a new notebook. If you decide to start from birth while using my system, birth to marriage would still be under his father. 

From Joyce:
​Q: What are you really keeping paper copies of?
A: I keep things like original documents, postcards, letters…I even have a doily in one of my books!

Debby commented to ​Kelli in the chat that she leaves a page in his father’s binder indicating which binder to look in for his complete story. In my system, not every “father” gets a binder, and the notebooks are not the complete story. They are simply the paper archive for the story. The full story is in your master genealogy database software.

If you’re struggling with tossing some of your paper, it can help to ask yourself, do my descendants REALLY want a piece of paper for every single thing I found even if it was just a print-out of a digitized (non-original) document? 

The answer is, NO!

In fact, the more paper you store, the more in jeopardy you put your family history research. Future generations may feel burdened by it, and likely won’t have room for it all. If it is an overwhelming amount it is less desirable for your descendants to try to hang on to it. Also, printer ink is expensive. 

From Bob:
Q: Do you 3-hole punch items that really don’t need a sheet protector? Like a census or something easily retrieved or printed again?
A: Occasionally, but usually only if it’s a Pending item. Otherwise I don’t print it out in the first place.

From Donna:
​Q: If you’re going to archive a digital file, would it be as effective to save it in your master software vs. a separate digital archive on your computer? Is there a benefit to having duplicate files?
A: I don’t attach files to my database. It’s not because it’s not a good idea. But because I started back when you couldn’t do that. And that made me very reliant on having an excellent digital filing system. If I see a marriage in my database which is sourced, I know exactly where to go on my computer to find the source document.

I would not recommend only linking to an online source document. I always download it to my computer. That’s because the document could move, or we could lose access to it depending on the status of our subscription to the website. Read: “If My Ancestry Subscription Expires, What Happens to My Tree?”

Q: But if I am organizing my archive for donation to a library, should not I have an index? The library won’t have a copy of my software.
A: When donating, ask about their requirements and provided the needed documentation. Options include providing a printed index, a copy of your gedcom file, or other reference material.

From C Davis​:
Q: You have to turn on your computer before you use a binder? Your computer boots fast? My RootsMagic does not start in a minute.
A: I leave my computer on all the time. It just goes to sleep. And in fact, turning your computer on and off a couple of time a day can actually shorten it’s life span.

Typically I leave RootsMagic up in the background while I’m doing research. But even if you don’t have it open and you were just looking at your online family tree, you typically know:
1) which surname and therefore which binder
2) which generation based on the age of the person (and therefore which tab to look under.)

Again, notebooks and paper are archival only. Most times I’m turning to my digital files for the backup documents.

​Q: Can you back up multiple computers on Backblaze?
A: You need one account for each computer. However, you can plug an external hard drive into your computer and the subscription for that computer will also cover that hard drive. This is very handy if for example you keep your scanned photos on a separate hard drive so that they don’t use up precious space on your computer.

​Q: I use a laptop and move it around the house and outside the home, and (use the) battery, so will a system like Backblaze work?
A: Yes. All you need is an internet connection. If you are temporarily not connected to the internet, Backblaze just picks back up on backing up when you reconnect.

Q: ​Backblaze works with old computers?
A: According to the company, they support back to Windows 7. Click here for the complete list for both Windows and Mac. Please use this link if you would like to get Backblaze for your computer.

​Carbonite now backs up video. I just activated it. It may come automatically now but just check if you start a new subscription.
A: I should clarify that it backed up video back when I used it but ONLY if you manually selected the video to be backed up. I discovered that many of my files were not backed up. According to their website: “**Video files are backed up automatically with the Plus and Prime plans. They can be added to your backup manually on any other plan.”

 

How to Organize All This Digital Genealogy Stuff!

My system is based on two foundational genealogical record types: the census and pedigree charts (just like my paper system). The folders are organized by head of household, typically the male head of household (just like the census.)

Overarching Folder Logic:

  • Families are divided by head of household.
  • Children (direct ancestors) are filed under their head of the family (Father) until married. 
  • After marriage, men (direct ancestors) become a head of household and women are filed under husband (if they are direct ancestors or if there is enough paper to warrant it.)

Creating Folders

Create a new folder on your hard drive called Genealogy.

Within the Genealogy folder, create general topic subfolders such as but not limited to:

  • Charts (family tree charts)
  • Correspondence
  • Countries (general history)
  • Database (genealogy software files)
  • History (for background material pertinent to your research)
  • Research Trips (maps, planning worksheets, and to-do lists)
  • Surnames (this folder is very important)
  • Heirlooms (can also be included under Surnames if you prefer*)
  • Photos (can also be included under Surnames if you prefer*)
  • Templates (ex. forms you use routinely)
  • Timelines

*I find when working with photos it is easier not to dig into each surname, but rather to have all photos in front of me and then dig in deeper from there. The Surnames folder is heavily focused on documents.

In the Surnames folder create a folder for the surnames you research most. Don’t worry about adding a folder for every surname right now—you can add more as you research. I started with my closest lines, organized as I researched, and then scheduled organizing time to catch up on the rest. 

Inside the first surname folder, create folders for the various types of genealogical records such as (but not limited to):

  • Births
  • Census
  • City Directories
  • Death
  • Journals
  • Locations (includes land records, postcards of towns and streets, maps, etc.)
  • Letters and Cards
  • Marriage
  • Military
  • Newspapers
  • Occupations
  • School
  • Voter Registrations
  • Wills and Estates

Keep a “template” set of these folders. Copy and paste these record folders into surname folders as needed. File your existing record files into the appropriate Surname > (Record Type) folder. Feel free to add an additional layer of folders by heads of households if you want, particularly for families with a lot of digital records. I do this within the records folder. 

How to File Genealogy Documents

Record websites typically provide the option to save the record to your computer. Click the Save button and navigate your way to the appropriate folder on your hard drive:

Genealogy > Surnames > Jones > Census. Name the file and click OK.

 

How to Name Your Computer Files

Name files with the year, head of household, and location.

For example, the 1920 U.S. Federal Census for the Robert M. Moore family file name would be:

1920_Robert_M_Springfield_OH.

This method allows you to quickly spot the census record within the Surnames > Moore > Census folder.

Since you are filing the record by surname and by record type, you don’t need to include those in the file name. By placing the year first, your files will automatically appear in chronological order in the folder.

Photos

I files the Photos folder under the Genealogy folder, not the Surnames folder. The reason for this is that typically when we are working with photos (perhaps for a book project or presentation) we want and need access to all of them. We don’t want to hunt around in our genealogy files for them.

ARCHIVE LADY: UNPROCESSED RECORDS

As an archivist, working in an archive every day, I get very excited when someone walks through the door with a records donation in hand. Many of our archives would not have the genealogical and historical records they have without the generosity of others that make records donations. Archives receive donations of documents, photographs, ephemera, and artifacts almost on a daily basis.

Many archives have back rooms full of unprocessed and uncatalogued records collections. Sometimes they are even sitting in the original boxes they were donated. These records collections have not been microfilmed, they are not online anywhere but they exist and the genealogist needs to seek them out.

Many times record collections haven’t even been processed yet but the archivist might let you look through a specific collection. Be prepared, sometimes the archivist doesn’t allow patrons to view unprocessed collections. But like I always say “It doesn’t hurt to ask!” The archivist should know what they have in those collections and should be able to help you decide if a particular collection will be of help to you and your genealogy research.

The answer to your genealogical question could be sitting in a box of unprocessed records. I like to always encourage genealogists to put “unprocessed records” on their to-do list. As genealogists, we should leave no stone or box of records, unturned.

DNA WITH DIAHAN: MORE DNA HEALTH REPORTS

Recently, Family Tree DNA offered its customers a new $49 add-on product: a wellness report that promises to “empower you to make more informed decisions about your nutrition, exercise, and supplementation.” The report comes via a partnership with Vitagene, a nutrigenomics company.

How does it work? When you order the report, Family Tree DNA shares the results of your Family Finder test with Vitagene and gives you a lifestyle questionnaire. According to the site, “this information, along with your DNA raw data results, will be analyzed using the latest research available in the areas of nutrition, exercise, and genomics. You can expect your results to be available on your dashboard within one week of purchase.”

At this point, the test is only available to those who have taken the Family Tree DNA Family Finder DNA test (we called to check with them specifically about those who transfer their DNA to Family Tree DNA, but the Wellness Report isn’t available to them, either). Those who qualify will see a Wellness Report upgrade option on their Family Tree DNA dashboard:

There are several components to the Family Tree DNA and Vitagene Wellness Report. The site describes them as follows:

Nutrition Report. “Personalized, actionable recommendations designed to help you reach your weight goals. Learn how your DNA affects traits such as obesity risk, emotional eating, weight regain after dieting, and more. Included Reports:  Obesity Risk, Alcohol Metabolism, Cholesterol Levels, Triglyceride Levels, Lactose Sensitivity, Gluten Sensitivity, Emotional Eating, Weight Regain After Dieting, Fat Intake, Sodium Intake.”

Exercise Report. “Outlines the optimal physical activities for your body to start seeing better results, faster. Included Reports: Power and Endurance Exercise, Muscle Strength, Muscle Cramps, Exercise Behavior, Blood Pressure Response to Exercise, Weight Response to Exercise.”

Supplementation Report. “Reveals which deficiencies you are more inclined to suffer from and recommends a supplement regimen that will help keep you healthy and feeling 100%. Included Reports: Full Supplementation Regimen, Vitamin D Intake, Vitamin A Intake, Folate Intake, Vitamin B12 Intake, Iron Intake.”

And what about your privacy? According to Family Tree DNA’s Q&A, “Your data is 100% secure and protected by industry standard security practices. We will not share your information without your explicit consent.”

This is just one of many services that are cropping up or will crop up in the future to offer additional interpretations of our DNA test results. (23andMe was the first major company in the genealogy space to offer these. Click here to read about their health reports, and click here and here to read about the company’s long road to FDA approval.)

Essentially, each DNA test you do for family history looks at a certain number of your SNPs, or little pieces of DNA (not your entire genome, which is costly and isn’t necessary for genetic genealogy purposes). A nutrigenomic profile compares your SNPs with SNPs known to be associated with various conditions or ailments. (These genetic markers have been identified by researchers, many in academia, and deposited in ClinVar, a large, publicly-accessible database that itself is part of an even larger genetic database, SNPedia.) In this case of Vitagene, they are likely mining ClinVar for specific places in your DNA that pertain to nutrition, and were also evaluated as part of the Family Finder test.

Of course, many factors affect your health, nutrition, exercise capacity, and other wellness indicators, not just your genes. The purpose of reports like these is to give you just one more piece of information to weigh personally or with your health care provider.

When considering whether to purchase a nutrigenomics report such as this, I’d look carefully at what’s promised in the report, as well as the company providing it and the cost. Vitagene does also sell vitamin supplements, so they have a clear motivation to tell you about what supplements to take. And, for your information, Vitagene also offers this $49 health report for AncestryDNA and 23andMe customers.

Or, I will just tell you right now, for free, without even looking at your DNA: Exercise more and eat more green vegetables and less ice cream. There. I just saved you some money. You’re welcome.

GEM: COUNTDOWN TO THE 1950 CENSUS: 5 TIPS

Get a copy of a census record for yourself or a relative (1950-2010). This costs $65 per person, per census year. In addition to genealogy uses, census records are legally-recognized documents to prove your identity, citizenship or age if you’re applying for a passport and you’ve lost your birth certificate or other situations like that. Order it through the “Age Search Service” offered through the US Census Bureau.

Danish Delights in New and Updated Genealogical Records This Week

Genealogical records and research for your Denmark ancestors has just gotten a little easier! New and updated genealogical collections for Danish genealogy have been added to FamilySearch. Also new this week, new and updated records for Sweden, Hungary, Britain, and Ireland.

Denmark – Census

It was truly a Danish delight when we heard the 1916 Denmark Census is now available at FamilySearch. Danish genealogy is just a bit easier with the availability of this census, especially when paired with the already published 1911 Denmark Census, also at FamilySearch.

This is an every-name index to the 1916 census of Denmark. This index was created by MyHeritage from images provided by the National Archives of Denmark. The collection at FamilySearch includes an index or abstract version in English and a digital image of the original.

This census was taken for the countries of Denmark, the Faroe Islands, Greenland, and the Danish West Indies, however, only the records for Denmark are available at FamilySearch. The enumeration for Denmark was divided into three sections with a different form for each of the sections: Copenhagen city, other cities, and rural areas.

This census names each individual in the home and includes: sex, calculated birth date and year, marital status, relationship to head-of-household, and residence.

Sweden – Church Records

FamilySearch has four Swedish church record collections that have recently been updated. Church records are especially helpful when civil records such as birth, marriage, and deaths, are not available. Check out these four updated collections and their titles below.

Hungary – Civil Registration

More records have been added to the Hungarian Civil Registration records at FamilySearch as well. This collection includes the years 1895-1980.

The records are bound volumes of pre-printed forms with event information recorded by hand. From 1895 through 1906, the forms are one page per event, but beginning in 1907 each event occupies one row in a printed table, so there are multiple events recorded per page. The records are in Hungarian.

Civil registrations include birth, marriage, and death records. You may be able to find the following information in each of these groups:

Birth records:

  • Date and place of birth
  • Name of child
  • Gender and religion
  • Parents’ names and mother’s age
  • Parents’ religion
  • Signature of informant

Marriage records:

  • Date and place of marriage
  • Groom’s name, date and place of birth
  • Groom’s religion and occupation
  • Groom’s parents’ names
  • Bride’s name, date and place of birth
  • Bride’s religion and occupation
  • Bride’s parents’ names
  • Witnesses’ names and their residence
  • Additional remarks

Death records:

  • Name and age of deceased
  • Date, time, and place of death
  • Deceased’s residence and occupation
  • Deceased’s religion
  • Spouse’s name

United Kingdom – 1939 Register

Like a census, the Register can tell you a lot about how your ancestors. You can find names, occupations, and more. The 1939 Register of more than 32.8 million records is now available at Findmypast.

The 1939 Register is pretty unique. It required people to explain exactly what they did. General terms, such as Foreman, Overseer, Doctor, Mill-hand, Porter or Farmer, were not acceptable. Instead, people were asked to be as specific as possible, giving details of the trade.

Additional information you will find on the Register includes:

  • Name
  • Full date of birth
  • Address
  • Marital status
  • Occupation

Ireland – Directories

Also at Findmypast, the Ireland, 19th Century Directories allow you to search more than 120 volumes of directories that contain more than 74 thousand records. Listings may include your ancestor’s occupation, place of business, or home address.

These directories were published annually, which means that you can easily track your ancestor year to year.

You will want to be aware that most of the details in the directories were collected six months before publication; therefore, all the listings are six months old.

The records are presented as PDFs (portable digital files). This feature allows you to narrow your search by publication, year and page number. After selecting an image, you can read through the whole directory by using the previous and next buttons at the top of the image.
